Welcome to NexGen OS ("we," "our," or "us"). We provide a Coaching Management Operating System to educational institutes. We are committed to protecting the privacy of the Institutes, their Faculties, and their Students.
This policy outlines our practices under the Information Technology Act, 2000 and the Digital Personal Data Protection Act (DPDP), 2023 of India.
2. Information We Collect
We collect data in three distinct categories:
- Owner Name, Government ID (Pan/Aadhaar for verification), Phone Number, and Business Email.
- Billing Address and GST Number (if applicable).
- Personal details: Name, Roll Number, Phone Number, Parent's Phone Number.
- Academic details: Attendance logs, Test Scores, Fee Payment History.
- Photos: For "Viral Poster" generation (uploaded voluntarily by the Institute).
- Professional details: Name, Subject Specialization, Phone Number.
- Performance details: Class schedules, student feedback ratings, and attendance records.
- Salary details: Payment records (if managed via NexGen OS).
3. How We Use Your Data
- Service Delivery: To generate reports, track attendance, and manage fee cycles.
- Automation: To send automated WhatsApp alerts to students (fees) and faculty (schedules).
- Legal Compliance: To maintain records as required by Indian tax and education laws.
Note on "Viral Posters": When you generate a marketing poster using a student's photo, you (the Institute) confirm that you have obtained the necessary consent from the student/parent to use their image for publicity. NexGen OS acts only as a tool provider.
4. Data Ownership & Security
You Own Your Data: The Institute retains full ownership of all student and faculty data uploaded. We process this data only on your behalf.
Security Measures:
- End-to-end encryption for sensitive fields (Passwords, Financials).
- Daily encrypted backups to prevent data loss.
- Strict role-based access control (Admin vs. Faculty views).
5. Third-Party Sharing
We do NOT sell data. We only share data with essential infrastructure providers:
- WhatsApp Business API: To deliver messages.
- Cloud Infrastructure (AWS/Vercel): To host the secure database.
- Payment Aggregators: To process your subscription payments.
